Job Description

Role overview

The Royalty Workflows Coordinator is responsible for tracking and matching incoming ACH and wire payments, organizing incoming mail, distributing dockets weekly, and maintaining contact with licensees, in addition to providing ongoing administrative support. A prospective candidate for this role will benefit from a background in royalties (book publishing royalties experience is preferred) and accounting and finance. Prior experience with Klopotek Royalty Software is a plus. The candidate must be extremely detail-oriented with the ability to multi-task and work well under pressure in a deadline-driven environment. There will be a considerable need for accuracy in data entry and communication skills when working with licensees.

Responsibilities

  • Organize all incoming mail.
  • Track all wire payments, match documentation to said payments, and convert them to US dollars.
  • Contact licensees to request documentation where needed.
  • Monitor and distribute a list of contracts that need finalization on a weekly basis.
  • Distribute royalty dockets on a weekly basis.
  • Organize and maintain royalty files.
  • Organize the statement mailing process and provide direction to royalty colleagues.
  • Undertake special projects as deemed necessary.
  • Work independently on a daily basis.
  • Collaborate with departmental supervisors, managers, or the director when necessary.

Qualifications

  • High School Diploma or equivalent is required.
  • A minimum of 1 year in a corporate accounting, finance, or royalty department is desired.
  • Experience in book publishing is preferred.
  • Ability to thrive in a high-volume, fast-paced work environment.
  • Detail-oriented and highly organized.
  • Proficient in Microsoft Word, Excel, & Outlook.
  • Excellent written & verbal communication skills.
  • Basic math skills.
  • Prior experience using Klopotek Royalty Software and/or JD Edwards Financial Software is a plus.
  • Ability to work overtime as needed.

Compensation and Benefits

  • The salary range for this position is $46,000-$50,000.
