Ingram Content Group (ICG) is seeking an Administrative Assistant to support our Distribution Center in Jackson, TN. This role is crucial in providing comprehensive administrative support to ensure the smooth operation of the distribution center.
This position offers a unique opportunity to contribute to a dynamic and evolving part of Ingram's business, which focuses on providing integrated solutions for publishers. You will be part of a collaborative team passionate about connecting people with the content they want.
Shift: Monday – Friday, 7:30 am – 4:00 pm (Overtime as needed)
Key Responsibilities
- Provides confidential administrative support.
- Prepares correspondence, weekly and monthly reports, memos, and contracts.
- Collects and prepares information for meetings with staff members and clients.
- Manages telephone calls, schedules meetings, and makes travel and lodging arrangements.
- Maintains systematic files, greets guests, orders supplies, and processes expense reports.
- Offers technical support to the department, including liaising with Facility Services, Telecom, Human Resources, and IT for office moves, maintenance, phone systems, computer setup, and service issues.
- Completes weekly and monthly reports, which may include inventory, daily status, variances, and efficiency metrics.
- Works directly with vendors to negotiate purchasing costs for various supplies.
- Plans, arranges, and purchases supplies for warehouse functions and celebrations, including calculating requirements for serving full meals to large numbers of associates safely and orderly.
Requirements
- High School Diploma or GED.
- 5 years of administrative experience at the executive level.
- 6 months of work experience involving walking, standing, lifting/carrying, bending, squatting/kneeling, twisting/turning, climbing, reaching above shoulders, and typing/keyboard use.
Preferred
Skills
- Strong communication skills.
- Proficiency in Microsoft Office Suite, including Excel.
- Experience working on an Intranet.
- Ability to multitask effectively.
Compensation and Benefits
- Hiring Salary Range: $22.17/hr - $27.48/hr. This range is determined by factors including education, experience, knowledge, skills, abilities, geographic location, internal equity, and market data.
